Wages: $25.04
Term: This position will run from July 01, 2022- December 31, 2022. Totaling 6 months

JOB SUMMARY
Under the administrative direction of the Administrative Manager and Controller, this individual will aid in the daily operations of the business regarding maintaining HR documents, HR processing, basic accounting, paperwork processing and other duties as assigned by the manager.

DUTIES AND RESPONSIBILITIES

• Assist with day-to-day operations of the HR and Admin functions and duties.
• Updating the job descriptions.
• Tracking the salary vacation spreadsheet and updating salary vacation forms.
• Doing quarterly and bi-annual abstract check for the N60 team.
• Processing the job posting on the job sites and reviewing the applications, doing references check.
• Set up and maintain manual and computerized information filing systems
• Update HR toolkit.
• Updating quarterly seniority list and send to union.
• Provide information to the payroll regarding employee change or wage change.
• Co-ordinate the flow of information internally and with other departments.
• Providing orientation and on-boarding documentation.
• Aiding in the creation and review of existing and new procedures.
• Scanning Accounting Documents into the North 60 SharePoint.
• Daily deposit Chilkoot and admin cash to bank.
• Enter Chilkoot Lottery sales to DM2.
• Enter Chilkoot cigarettes sales in DM2.
• Data entry of Knights sales on spreadsheet.
• Doing runs for stationary at staples and other places, as necessary.
• Other duties as assigned by the Managers.


RELATIONSHIPS

This position works with all departments including in office, Highways divisions and satellite office. Must be able to work independently or with a Team.

PROBLEM SOLVING
This position requires a lot of independent management and problem solving. The incumbent will from time-to-time face complex problems demanding solutions that will need to be creative.

AUTHORITY
This position has no independent authority and requires the approval of the financial analyst for final say.

PHYSICAL REQUIRMENTS

• Language Skills
Ability to read and correspond with employees, customers, and vendors. Ability to respond to common inquiries or complaints from employees, customers, or service providers. Ability to write and effectively communicate utilizing e-mail. Ability to communicate effectively with all employees, customers, and vendors to facilitate problem resolutions.
• Physical Demands
Must be able to sit or stand for long periods of time and participate in active physical duties. Must be able to operate company vehicles. Must be able to use computer, telephone, and other general office equipment.
• Work Environment
The performance of this position requires exposure to industrial areas which requires the use of personal protective equipment such as appropriate footwear, safety glasses, mandatory hearing protection. Industrial areas include hazardous chemicals, fumes, and petroleum by-products. For the most part, exposure is ambient room temperatures, lighting and traditional office equipment as found in a typical office environment.

EMPLOYMENT REQUIRMENTS
Completion of Secondary School is required.
Experience in Human Resources or Accounting is an asset.
Good business English and general office practice skills are required.
Demonstrated proficiency in keyboard skills, as well as a working knowledge of MS Windows and related word processing, spreadsheet, and database software, is required.

Additional Information

Experience in the Petroleum industry is an asset.
A valid driver’s Licence is an asset.
