Wage $85,000-$90,000 Job description Reports to: Transportation Manager Position Summary: As the Local Truck Dispatch Manager, the individual will be responsible for assigning and dispatching primarily heating oil deliveries, but also aviation, service stations and bulk load deliveries. The individual must be able to work in a fast-paced environment, able to adapt quickly to changing circumstances with the seasonality of the work and be able to work independently whilst also being part of a team. Duties and Responsibilities:
  • Process and transmit information and instruction to co-ordinate the activities of drivers, and fleet units using a variety of computer-aided communications and dispatching equipment
  • Dispatching will call orders
  • Monitor phones and assist with providing information to customers and employees
  • Daily generating of all heating oil schedules and routes for both residential and commercial customers, plan with Marketing Manager when a new account opens
  • Maintenance of schedules and routes, including updating to spreadsheets and routing for efficiency
  • Call customers requiring day-before warning of delivery
  • Assist customers with minor issues and escalate bigger problems to senior management when required
  • Work with linehaul dispatch on driver needs (linehaul/town drivers crossover)
  • All SmarTruck equipment troubleshooting and dealing with tech support
  • Training drivers on our electronic dispatching and safety programs
  • Approve clock cards on our payroll system and monitor hours of service
  • Conduct 1 toolbox meeting monthly for town drivers
  • Communicate all driver concerns and upgrade suggestions to Logistics Manager for consideration and action plan
  • New customer site visits, check tank, delivery concerns, note for customer file and notes for drivers
  • Create and maintain on-call driver schedules and communicate to operations team
  • Verify completed transactions and liaise with accounting department to ensure paperwork is accurate and complete
• Participate in safety and training program improvements • Cross-training on other dispatch office positions to cover during vacations and absences • Any other duties as directed as assigned by the Logistics Manager • Carry a company cell phone and be on-call for emergencies every other weekend. Knowledge and Skills: • 1-2 years in logistics and/or transportation dispatch • 1-2 years’ experience in customer service role • Have experience with and be comfortable using various electronic devices and software • Knowledge of highway trucking and associated rules and regulations • Possess excellent communication skills (oral and written) • Intermediate level computer literacy with MSOffice suite of software applications • Must be always professional and courteous with customers. • Must possess strong organizational skills including time management, multitasking and remaining calm in a hectic work environment including managing a high volume of daily emails, phone calls, and enquiries • Trucking background (Class 1 & 3) is an asset Language Skills: Ability to respond to common inquiries or complaints from employees, customers, or service providers. Ability to record and calculate mathematic equations on delivery tickets. Ability to communicate effectively with all employees, customers and vendors to facilitate problem resolutions.   • A valid Class 5 driver’s Licence
  • Carry a company cell phone and have on-call availability every other week.
